Job Summary
The Sourcing Assistant is responsible for providing administrative and operational support to the Sourcing and Procurement team. They assist in supplier identification, procurement processes, data management, and ensuring smooth sourcing operations.
Key Responsibilities
1 . Supplier Communication
- Assist in maintaining communication with suppliers, including sending requests for quotations (RFQs), following up on orders, and addressing inquiries.
2 . Data Entry and Management
- Input and maintain supplier information, purchase orders, and procurement-related data in the company’s procurement software or databases.
- Ensure data accuracy and completeness.
3 . Vendor Research and Evaluation
- Conduct basic research on potential suppliers and gather information on their capabilities, product offerings, and pricing.
- Assist in evaluating supplier performance and compliance.
4 . Documentation and Filing
- Organize and maintain procurement-related documents, including contracts, purchase orders, and invoices.
- Ensure documents are filed appropriately and are easily accessible.
5 . Sourcing Support
- Assist in the preparation of sourcing strategies and vendor selection criteria.
- Collaborate with Sourcing Managers in collecting and analyzing supplier bids and proposals.
6 . Purchase Order Management
- Assist in the creation and management of purchase orders.
- Verify purchase order accuracy, including product specifications, quantities, and pricing.
7 . Inventory Control
- Support inventory management by monitoring stock levels, assisting in stock replenishment, and coordinating with suppliers on delivery schedules.
8 . Communication Liaison
- Serve as a liaison between the procurement team and other departments, addressing inquiries and providing status updates on procurement activities.
9 . Reporting
- Assist in generating reports on procurement metrics, supplier performance, and cost savings.
- Prepare data for periodic reviews and analysis.
10 . Compliance and Documentation
- Ensure that procurement activities adhere to company policies, procedures, and regulatory requirements.
- Assist in maintaining records of compliance-related documents.
Qualifications
- Proficiency in using office software (e.g., Microsoft Office Suite) and procurement tools.
- Strong organizational and multitasking abilities.
- Attention to detail and data accuracy.
- Effective communication skills, both written and verbal. (English & Vietnamese)
- Willingness to learn and adapt to new processes and technologies.
Preferred Skills
- Familiarity with procurement software and databases.
- Knowledge of procurement and supply chain principles.
- Basic understanding of contract terms and procurement regulations.
